ADVISOR ANSWERS

Find Location of Private Views and Folders in IBM Lotus Notes

Learn where private views and folders are stored in Lotus Notes. Hint: They could be in different places, depending on Access Control List settings.

Compiled by Karen Gallo-Messore, IBM

Q: Where are private views and folders stored?

A: The database Access Control List (ACL) determines where "Private" and "Shared, private on first use" views and folders are stored. If a user has the ACL property "Create Personal Folders/Views" enabled, they’re stored in the database. If the property isn't enabled, they're stored in the user's personal desktop file.

"Shared, desktop private on first use" folders and views are always stored in the desktop.

The ACL rights for users also determine whether they're able to store personal agents, shared folders/views, and LotusScript/Java agents in the database or in the desktop. If they don't have the relative ACL property enabled, the design element is stored in the desktop.

The original Shared version of "Shared, private on first use" and "Shared, desktop private on first use" views and folders are stored in the database. It's after the first usage that the storage location is dependent on the ACL rights of the user.

In Notes 4, the term "Shared, personal on first use" was used rather than "Shared, private on first use".
