How to Prepare a FileMaker Pro Database for Instant Web Publishing

Step-by-step instructions for getting started with Instant Web Publishing.

By Cris Ippolite, iSolutions president and founder

To share data using Instant Web Publishing, simply follow these steps:
Figure 1: Enabling Instant Web Publishing -- Select the file name you want to publish from the list of open files.
Figure 2: Edit Privilege Set dialog -- In this window, you can review and modify a user's privileges.

1. Open the database.
2. Open the Instant Web Publishing dialog and enable Instant Web Publishing.
Windows: Choose Edit menu > Sharing > Instant Web Publishing.
Mac OS X: Choose FileMaker Pro menu > Sharing > Instant Web Publishing.
3. Select the file name to publish on the Web from the list of open files (figure 1).
4. Choose which users can access the file (table 1).
5. Repeat steps 3 and 4 for each database you want to publish.
6. Click on OK or choose additional settings.

Remember, these steps are for hosting a database with FileMaker Pro. You may want to host your files with FileMaker Server 7 Advanced to share databases with more than five concurrent users or publish more than 10 files at a time.

Here are some additional things to be aware of when you're preparing your database to share via IWP:

  • Assigning access to files in the Instant Web Publishing Sharing dialog changes the extended privilege settings in the associated user's privilege set. You can review and modify the Extended Privileges settings directly in the Edit Extended Privileges dialog (figure 2).
  • You can specify which which privilege sets can access each file by checking the box next to each desired set.
  • The list of open files and file access options in the Sharing dialog are dimmed if you don’t have Full Access privileges or privileges to manage a file's extended privileges.

After you've set up FileMaker Pro or FileMaker Developer to share the files and you've activated the IWP Extended Privlege, your database is now ready to be accessed via a browser.

To access the Database Homepage and to see a list of files availible via IWP, a user should use the following URL:

http://<ip address of web server>:<port number>/fmi/iwp/

Now, you're on the path to understanding Instant Web Publishing in FileMaker 7.

This tip is an excerpt from Chris Ippolite's article, "Instant Web Publishing in FileMaker 7" published in the December 2004 issue of FILEMAKER ADVISOR magazine.
